Administrative Assistant III (Assistant to Division Director)

Responsibilities:

Under limited supervision, provides a wide variety of progressively more complex administrative and staff support functions for a department or organizational unit. Coordinates budget preparation and control activities. Compiles and analyzes data, prepares reports/recommendations for action by management. Administers programs, projects and/or processes specific to the departments. Serves as the as administrative liaison with others with and outside the company regarding administrative issues related to purchasing, human resources, facilities and operations. Primarily reports to Division Director but is willing to assist other managers and directors within organizational unit.

Qualifications

Minimum Education, Training & Experience (includes licenses or certifications):

Education:

  • High School Graduate or equivalent. College level coursework; BA/BS Degree Preferred.
  • May be required to have CPR/BLS certification depending upon assignment.

Experience:

  • Three plus years progressively responsible administrative or senior level assistant experience or equivalent education and/or training, preferably with a health care organization.
  • Experience in interacting with all levels of organization, particularly senior management

Skills/Knowledge/Abilities:

  • Demonstrated sixty words per minute keyboarding skill, advanced word processing skills and budgeting proficiency.
  • Ability to work independently and exercise sound judgment when making decisions within the framework of corporate policy, seeking consultation as needed.
  • Proficient at utilizing computer software to create a range of documents including contract preparation and review, formal letter composition, preparation of presentations, spreadsheets, reports, etc., with varying complexity.
  • Ability to transcribe reports, forms and correspondence, including the use of technical and medical terminology, from longhand or dictation.
  • Ability to compose specialized or sensitive correspondence and reports. Ability to edit documents for grammar, punctuation, etc.
  • Ability to understand, anticipate, prioritize and follow through on responsibilities with a high degree of initiative.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
